Every meeting has a lobby, that you can use to moderate the participants that join your meeting. As a meeting coordinator, you use the meeting access controls to specify the conditions that have to meet so that participants can join your meetings.
The following meeting access control options are available:
- Open
- Anyone can join this meeting (default)
- Only let anyone who is a workspace member, or who is invited to the meeting, join
- Workspace members can join this meeting
- Guests and phone participants cannot join this meeting
- Do not let anyone into the meeting
- Only coordinators can join this meeting
- Make anyone who is not a workspace member, or who is invited to the meeting, wait in the lobby
- Workspace members can join this meeting
- Guests and phone participants have to wait for a coordinator to let them in
- Make everyone wait in the lobby
- Only coordinators can join this meeting
- Everyone else has to wait for a coordinator to let them in
Setting meeting access controls for a workspace
As a workspace coordinator, to set the meeting access controls:
- Open your workspace
- Click Configure workspace
- Select an option for Meeting access controls
- Click Confirm to apply the setting to the workspace meeting.
These controls apply every time that you run this meeting.
Setting the meeting access controls during a meeting
As a meeting coordinator, to set the meeting access controls:
- Open the more additional options
- Click Meeting Controls
- Select an option for Meeting access controls
- Click Confirm to apply the setting to the meeting.
If this meeting is on a workspace, these controls apply every time that you run this meeting.
If the meeting is not in a workspace, you need to set the access controls each time that you start the meeting.
The participants list header displays a red closed lock if restrictions are set, or a gray lock if set to Open.
Making participants waiting in the lobby
Participant experience
- As a meeting participant, when you have to wait to join a meeting due to its access control settings, CafeX informs you with the following message:
- When a meeting coordinator approves you to join the meeting, CafeX displays the following message:
- Click Join to join the meeting.
Coordinator experience
- As a coordinator, when a participant is waiting to join a meeting due to its access control settings, CafeX displays options next to the participant, as follows:
- Click to approve the participant, or to reject them.
- When you approve a participant, they can then join the meeting.
