Your Challo assistants let members of your organization to interact with Challo from their mail client. They can send emails to the assistant to perform certain tasks. They may nteract with your Challo assistants in the following ways:

  • Email your account assistant to:
    • Create workspaces
    • Schedule meetings
  • Email your workspace assistants on each workspace to:
    • Add content to a workspace
    • Schedule meetings on a workspace

Your assistants receives emails from the following people:

  • Members of your organization
    • Your Challo account is ready to use for all members of your organization.
  • Associates from outside of your organization
    • Challo requests they sign up after receiving an invitation to join a workspace.
  • Guests
    • Anyone else.

Assistants behave differently when receiving emails from these people. 

In addition, workspace assistants take into account the role of members they receive emails from.

The Challo assistant reads emails found in the mailbox. It does nothing else to the email.

Emailing your account assistant

Emailing your account assistant:

  • As a guest:
    • The account assistant does nothing.
      Challo does not create a workspace when guests send emails to it.
  • As a member from outside of your organization:
    • The account assistant does nothing.
      Challo does not create a workspace when these members send emails to it.
  • As a member of your organization:
    The account assistant:
    • Starts a workspace.
    • Adds the people you include on the email as workspace members.
      • The assistant invites any guests to sign up to use Challo.
    • In addition, if you send a meeting event:
      • The workspace assistant sends you, and all recipients two emails:
        • Inviting you to the new workspace, with a link to sign up if necessary.
        • Containing the live session URL.
      • The assistant updates the meeting event to include a hyperlink to the live session.

Emailing your workspace assistant

  • As a guest:
    • The email assistant does nothing.
    • The workspace assistant does not share the content of the email with the workspace.
  • As a workspace member with the role viewer:
    • The workspace assistant sends an email to the workspace coordinators, that informs them that you have the incorrect role to add content.
    • The workspace assistant does not share the content of the email with the workspace.
  • As a workspace member with the role collaborator or workspace coordinator:
    • Sends content to the workspace.
    • Does not add members you include on your email.
      • You must add these manually.
    • In addition, If you send a meeting event from your calendar:
      • Records the meeting on your workspace.
      • The assistant send an email with a hyperlink live session.
